Local-First App Use

CommonDue is a local-first app for apartment buildings, households, common expenses, and property operations.

Core app flows can be used locally on the user's device. Users are responsible for managing access to their device and for deciding when to export, copy, share, or send information outside the app.

User Responsibility For Entered Data

Users are responsible for the accuracy and lawfulness of the data they enter into CommonDue.

Users should enter only information they are allowed to record and should keep building, owner, tenant, payment, provider, and document details up to date.

Payment Instructions And Disabled Online Payments

Payment instructions in CommonDue are user-entered records only. They may include bank details or reference text that users choose to store for building payment coordination.

CommonDue does not connect to bank APIs, verify a bank account, confirm an external bank transfer, or hold or pool resident funds.

Users may make payments through their own bank, payment app, cash process, accountant, building committee, or another arrangement outside CommonDue.

Online checkout, merchant onboarding, payment processing, online refunds, and payment disputes are disabled in this release. Users and committees remain responsible for checking and reconciling external payments before changing CommonDue records.

Receipt And Statement Recognition

Receipt and bank-statement recognition uses on-device text recognition to produce editable suggestions. Users must review dates, amounts, descriptions, references, categories, units, and payer selections before saving or importing.

CommonDue does not guarantee recognition accuracy. Scanned rows are not automatically matched, marked paid, submitted to a bank, or treated as proof of payment.

Common Expenses, Accounting, And Building Decisions

CommonDue helps users organize and track information. It does not replace legal, accounting, tax, insurance, property-management, or professional building administration advice.

Committees, owners, administrators, and residents should verify common-expense rules, payment obligations, voting/governance decisions, tax treatment, and building procedures against their own regulations, agreements, and professional advice.

Committee-authorized users may publish a charge run using ownership shares/mils, equal amounts, or reviewed custom amounts. A published charge run keeps a frozen record of its source expenses, allocation method, effective-dated unit profiles, and calculated charges. Users remain responsible for checking shares, source expenses, dates, calculations, corrections, and the legal basis for an allocation before relying on or sharing it.

The CommonDue building account statement shows locally recorded opening cash balance, money in, money out, and closing cash balance. It is not a bank-issued statement, bank-account verification, or an audited account, and it should not be treated as professional accounting certification.

Provider Requests

Provider Request drafts are a local/manual feature and are not submitted automatically to CommonDue or to providers.

Users may choose to prepare, copy, export, share, or send request information manually.

Connected users may explicitly submit a bounded non-emergency Provider Concierge request to CommonDue for best-effort review. This is intake/status only unless separate reviewed terms say otherwise.

That explicit connected submission may automatically trigger a minimal notification email to CommonDue operations. The protected connected queue remains the source of truth. The notification does not assign or contact a provider, make a payment, guarantee a response, or include contact values, request free text, attachments, documents, bank/payment data, app snapshots, credentials, or a raw email-provider receipt.

If active concierge support exists, CommonDue may provide informational provider contacts or next-step suggestions. This does not mean a provider is assigned, booked, approved, accepted, or guaranteed.

CommonDue is not an emergency response service. For urgent danger, active damage, fire, flooding, electrical risk, trapped persons, medical danger, or safety issues, users should contact emergency services, building management, utility providers, or a qualified professional directly.

Provider availability, pricing, attendance, quality, response, and final work are not guaranteed by CommonDue. Users choose whether to contact any provider and whether to proceed.

Before any monetized provider lead, partner placement, or concierge service is launched, paid/partner provider disclosure wording must be finalized and reviewed.

Connected Messaging

Connected hosted messaging is intended for property-scoped coordination between active members of the same hosted property.

Users remain responsible for what they write and share. They should not use hosted messages for emergencies, threats, illegal content, bank credentials, passwords, invite codes, private keys, or unnecessary personal data.

Hosted messaging may include group and private one-to-one threads, supported attachments, informal polls, read state, pinned announcements, generic push notifications, and optional FaceTime handoff. Users must have the right to share any file, message, poll content, or contact address they provide.

Private threads are limited to their participants but should not be treated as a secure channel for passwords, bank credentials, recovery keys, or other secrets. Short-lived attachment links and access controls reduce exposure but cannot guarantee absolute security.

Read indicators and polls are coordination tools, not proof of legal notice, consent, attendance, identity, payment, or a binding building vote.

Private-call controls open FaceTime. CommonDue does not provide in-app VoIP, record calls, transcribe calls, or guarantee that a call will connect. Notification delivery is not guaranteed and should not be relied upon for emergencies, legal deadlines, payment deadlines, or safety warnings.

Building admins/managers may be able to hide or delete messages in their own hosted building. Message reports and moderation actions are support tools, not a guarantee of 24/7 monitoring, instant review, instant physical deletion, or legal determination.

CommonDue applies a narrow deterministic English/Greek pre-post screen to message text, channel titles, poll text, attachment captions, and attachment filenames. Clearly high-severity abusive, threatening, exploitative, or explicit text may be rejected before posting. This safeguard is not AI, does not inspect the contents of uploaded files, and cannot guarantee that every harmful item will be detected.

Members can report messages, block or mute another eligible property member, and contact support. Blocking limits direct interaction for the blocking member; muting changes that member's own notification/unread experience. Building admins/managers retain their own moderation controls.

CommonDue may limit, disable, hide, or remove messaging access where needed for safety, abuse prevention, privacy, operational risk, or legal reasons.

Connected Cloud Backup And Restore

Connected backup is optional, explicit, and limited to the approved encrypted first slice. It is not automatic broad sync. Users are responsible for reviewing backup scope and restore preview before confirming an apply operation.

CommonDue does not store or recover the user's backup recovery key. Support cannot decrypt a backup, bypass the recovery key, or restore an encrypted backup when the recovery key is lost.

Connected Shared Documents

Connected Shared Documents is a separate, optional hosted vault. It is not part of the encrypted cloud-backup slice and it is not broad automatic synchronization of local documents.

Committee-authorized users may upload supported property files, organise folders and versions, choose an access scope, set a review/expiry date, and link documents to supported property records. Active members may access only documents allowed by their current property membership and role. Users are responsible for choosing the correct audience and for having the right to upload and share every file.

Hosted files are kept in private storage and downloaded through short-lived access links after a fresh permission check. CommonDue validates supported type, size, byte count, and upload checksum. It does not inspect file contents for malware, verify that a document is genuine, or certify that an invoice, receipt, statement, contract, minute, or compliance record is accurate or legally effective.

An expiry marker is a review aid and does not automatically delete the file. Archiving removes a document from the normal active list but is not an immediate permanent-erasure guarantee. The first hosted-vault release does not provide a self-service permanent-delete or hosted-vault export tool. Users should keep independent copies of records they are legally required to retain and contact support about account-level export or deletion requests.

Exports And Sharing

Users control manual exports and sharing from the app.

When users export, copy, share, or send data outside CommonDue, that data may leave the app's local control. Users should review exported content before sharing it and avoid sending information that is not needed.

Subscriptions And Paid Features

If CommonDue Pro is offered in the app, the price, billing period and any eligible introductory trial are shown by Apple before purchase. Payment is charged to the user's Apple Account after confirmation. The subscription renews automatically unless cancelled at least 24 hours before the end of the current billing period. Users can manage or cancel through their App Store subscription settings.

An introductory trial is available only when Apple confirms eligibility. When a trial ends, the subscription renews at the price and billing period shown before purchase unless the user cancels in time. Apple Account, storefront, tax and refund rules may affect the final amount or eligibility.

CommonDue Pro applies to the purchasing connected CommonDue profile and unlocks additional organizer-managed properties and the complete organizer toolset, subject to the user's existing property role. Pro does not make a resident a committee member and does not bypass finance, governance, document, maintenance, or moderation permissions. Invited residents are not required to buy a plan to join a shared property. One person's subscription is not a building-wide entitlement or a separate AI allowance for every resident device. Family Sharing is not supported for this release.

Cancelling or allowing CommonDue Pro to expire does not delete or hide existing properties, financial records, documents or exports. Some paid creation or management actions may become unavailable until access is restored.

An eligible signed-in CommonDue Pro TestFlight account includes a metered monthly PRAESI AI credit allowance after the user accepts the AI disclosure and selects approved source categories. Credits are a usage-control unit, not cash, stored value, a fixed number of answers, or a transferable balance. The required credits can vary with the size and provider cost of a request. Active Pro and enabled customer AI are required to use included credits.

Unused included credits may roll over only to the displayed cap. Paid AI credit packs remain unavailable in this TestFlight release. If credit packs are offered later, their price, non-renewing status, refund handling, and credit-debt rules will be shown before purchase. Apple handles subscription billing and refund decisions.

PRAESI AI suggestions, summaries, and drafts are informational aids. Users must review citations, source coverage, dates, amounts, names, permissions, and proposed actions. The assistant does not autonomously publish notices, change financial records, reconcile transactions, move money, cast votes, contact providers, or perform another consequential action without a separate explicit confirmation and the user's normal role permission. Requests remain subject to consent, role, Pro, credit, quota, model, safety, and hard global budget controls.

If attachment assistance is shown, selected photos, PDFs, and plain-text files are read on the device. Raw files are not uploaded by that control. Only text the user explicitly inserts and reviews can enter a later enabled AI request, where it is treated as untrusted document content and remains subject to the normal request limits.

The current release does not charge a CommonDue Provider Concierge fee or promise a paid priority service. Any paid Concierge tier, provider lead, marketplace, or other separately paid feature requires its own pricing, purchase, cancellation, refund, support and legal terms before launch.

Complaints And Refunds

Support can record and review complaints at [email protected]. App Store subscription billing and refund requests are handled under Apple's purchase and refund processes. CommonDue support can help identify the subscription state but cannot access payment-card details or guarantee an Apple refund.

Because the current release does not charge a CommonDue Provider Concierge fee, there is no CommonDue Concierge fee to refund.

External payment refunds and disputes are handled outside CommonDue. An authorised property committee user may update CommonDue records only after independently reviewing the external result.

Third-party provider work, pricing, attendance, and quality are separate from CommonDue unless separately agreed in writing.

Practical Limitation Notes

CommonDue aims to provide useful tools for local building organization, but users remain responsible for checking records, decisions, exports, payments, and provider choices before relying on them.

The app may contain errors, device-specific behavior, import/export limitations, or data entered incorrectly by users. Users should keep their own backups of important records where appropriate.

Governing Law And Local Review

These terms and related non-contractual obligations are governed by the laws of the Republic of Cyprus, without limiting mandatory rights that apply to consumers under Cyprus or European Union law. Disputes are subject to the competent courts of Cyprus unless mandatory law requires otherwise.

The internal release process still requires owner/legal approval or an explicit recorded waiver for the exact submitted version.
